VANS & GROUP TRAVEL

Vans & group travel

Thoughtful planning. Clear details. A journey agreed before you travel.

Bring your party’s plans together

A group transfer starts with a clear headcount and a shared plan. Include all adults, children and infants, together with the full pickup and destination addresses. A van may be suitable depending on the route and available capacity. If the party needs several vehicles, the proposal should explain the number, meeting arrangements and how passengers will be allocated before the journey is confirmed.

Leave room for luggage and equipment

Passenger capacity and luggage space are separate limits. Count checked suitcases and cabin bags, then describe sports equipment, strollers, musical instruments or other large items with useful dimensions. For a team, tour or event group, explain whether loading will require extra time or a suitable access area. This information helps identify a practical arrangement instead of choosing a vehicle only by its advertised number of seats.

One lead traveler, a clear meeting point

Choose a lead traveler who can coordinate the party and be reached on the day. Provide a working phone number and email address, and share the confirmed pickup instructions with everyone. Hotel entrances, airport meeting zones and vehicle pickup areas can be different places. Include the property name and any loading restrictions. The final arrangement should give the group a specific meeting location and operator contact details rather than relying on a general address alone.

Arrivals on different flights

If travelers arrive separately, list the relevant flight details and explain whether they should travel together or be collected independently. Allow for baggage collection and walking between terminals when proposing a shared departure time. A vehicle waiting for the whole party may need a different quotation from several separate transfers. Check the agreed waiting allowance and what happens if one arrival changes, so the lead traveler understands how to coordinate the group.

Events, families and access requirements

For a conference, wedding or family journey, provide the venue address, desired arrival time and any return schedule. Mention child-seat requests, wheelchair dimensions and mobility assistance needs at the beginning so vehicle suitability can be reviewed. Pedestrian access, narrow streets and event traffic can affect the pickup location. If a group needs stops at several properties, describe each stop and the approximate time needed so the proposed route can be assessed.

Review the full arrangement together

Send the request at least 48 hours before pickup, with additional planning time for larger groups or unusual loads. An inquiry does not reserve capacity. Before accepting, review vehicle count, passenger and luggage allowances, pickup locations, route, total charges, waiting terms and cancellation conditions. Once confirmed, keep one shared journey plan with the lead traveler. The current inquiry form collects the information needed for review and does not take an online payment.
